PlanningMe ("we", "our", "us") is committed to protecting the personal data of our users and customers in accordance with the EU General Data Protection Regulation (GDPR) and the Swiss Federal Act on Data Protection (nFADP / revDSG, in force since 1 September 2023).
We act in two capacities. As a Controller, we process data related to accounts, billing, support, and service analytics. As a Processor, we process employee data entered by our customers (companies) on their behalf. If you are an employee of one of our customers, please also refer to your employer's own privacy notice.
Account data (name, email, company): to provide and manage the service (legal basis: contract). Usage data and logs (IP address, session IDs): to ensure security and service continuity (legal basis: legitimate interest). Analytics (aggregated, pseudonymised): to improve the product (legal basis: legitimate interest, subject to cookie consent). Employee planning data (names, schedules, absences): processed exclusively on behalf of the customer (legal basis: contract with the customer).
Account and billing data is retained for the duration of the contract plus 10 years as required by Swiss accounting law. Employee planning data is retained for the period agreed with the customer, with a default of 5 years. Application logs are retained for 2 months and then deleted. Where a retention policy is configured for your deployment, personal data is anonymised automatically once its period expires: identifying details are removed and the planning record is kept without a name.
Under GDPR and nFADP you have the right to: access your personal data; rectify inaccurate data; request erasure ("right to be forgotten"); data portability in a structured, machine-readable format; restrict or object to processing; withdraw consent at any time (where processing is based on consent). Access and portability are available directly in the application: sign in and use "Download my data" on your profile to obtain everything we hold about you as a JSON file. For erasure, rectification, restriction or objection, contact your employer's administrator or write to us at the address below; we answer within one month.
We use the following sub-processors, all covered by appropriate Data Processing Agreements:
All primary data storage and processing takes place within Switzerland and the European Economic Area. Where transfers outside the EEA occur (e.g. through sub-processor infrastructure), they are covered by Standard Contractual Clauses (SCCs) approved by the European Commission.
We use cookies that are strictly necessary for authentication, language preference and to remember your own cookie choice. These do not require consent. Our telemetry (Application Insights) runs server-side and sets no cookies in your browser; even so, we send behavioural analytics only if you accept it, and we always strip identifiers and truncate IP addresses. Data needed for security and service continuity — errors and failed requests — is processed under legitimate interest. You can change or withdraw your choice at any time with "Cookie preferences" in the footer of the application.
